How many times is too much? For a copywriter, the approach to contacting potential clients should balance persistence with professionalism. Understandably getting a client can make a difference in the feast or famine game, but there definitely is a thin line between being persistent and being overly pushy. Make sure you are not in the latter group as it can greatly damage your reputation and reduce your fees leverage. Here are some steps and reasonable guidelines to follow:

Initial Contact:

  • Medium: Email or LinkedIn message.
  • Content: Brief introduction, showcasing your expertise, and a clear value proposition.

First Follow-Up:

  • Timing: 3-5 days after the initial contact.
  • Content: A polite reminder, reiterating the value you can provide, and perhaps sharing a relevant sample of your work or a case study.

Second Follow-Up:

  • Timing: 5-7 days after the first follow-up.
  • Content: Another brief message, possibly addressing a pain point the potential client may have and how you can solve it.

Third Follow-Up:

  • Timing: 7-10 days after the second follow-up.
  • Content: A short message expressing continued interest in working together, offering to answer any questions, and leaving the door open for future opportunities.

Final Follow-Up:

  • Timing: 2-4 weeks after the third follow-up.
  • Content: A friendly message acknowledging their busy schedule, reiterating your interest, and mentioning you will check back in the future.
  • Personalize Your Messages: Tailor each message to the specific potential client. Mention something specific about their business or recent work.
  • Create automation on platforms: Utilize Mailer Lite, Constant Contact or MailChimp. These auto responders are easy to set up and will save you a lot of time on client follow-ups.
  • Provide Value: Share relevant insights, tips, or examples of your work that demonstrate your expertise and how you can add value.
  • Be Concise: Keep your messages short and to the point.
  • Respect Boundaries: If a potential client asks not to be contacted again, respect their wishes.
  • Track Your Outreach: Keep a record of your contacts and follow-ups to ensure you are consistent without being overly persistent.

Tips for Effective Outreach:

By following this approach, you can effectively reach out to potential clients without overwhelming them and still appear persuasive yet professional.
